Privacy Policy

1. Introduction & Scope

This Privacy Policy explains how Summit Sports Performance, LLC ("Summit," "we," "us," or "our") collects, uses, protects, and handles the personal information you provide through our website, the Player Portal, and our physical training facility. By creating an account, booking services, or utilizing our facility, you consent to the data practices described in this policy.

2. Information We Collect

We collect information strictly necessary to operate our facility and provide our services.

Account Information: Your name, email address, emergency contact phone number, and login credentials. Authentication and password security are managed securely by our third-party identity management providers.

Player Information: The minor player's name, birthdate, team affiliation, and related athletic details (such as positions, uniform sizes, or jersey numbers). Players do not create accounts; all player information is exclusively provided and managed by the parent or legal guardian who holds the account.

Financial & Payment Data: All online payments are securely processed by industry-standard payment gateways (such as Stripe). Summit receives payment confirmations, transaction amounts, and billing history, but your full credit card details and bank account numbers go directly to the processor and are never stored on Summit's servers.

Portal Activity: We record your lesson schedules, cage bookings, membership status, attendance, invoice history, message board posts, submitted reviews, and any media (photos/videos) you choose to upload.

Physical Facility Data & Surveillance: In addition to digital information, we collect visual and audio data through 24/7 security cameras operating at our physical training facility. This video data is collected exclusively for the safety, security, and operational integrity of the premises, staff, and athletes. Surveillance footage is strictly controlled by facility administrators and is not shared publicly, except as required by law enforcement or for liability defense.

3. How We Use Your Information

We use your data solely to deliver and improve our athletic training services. Specifically, we use it to: manage facility schedules, bookings, and memberships; process billing, invoicing, and coach compensation; send essential service communications, including schedule changes, booking confirmations, and billing receipts; and deliver message-board notifications and facility announcements (you may opt out of non-essential emails within your portal settings).

Summit Sports Performance will never sell your personal information, nor do we share it with third parties for their own advertising or marketing purposes.

4. SMS & Mobile Data Privacy

If you opt in to receive text messages (SMS) from Summit Sports Performance, your mobile phone number and consent will be used solely for facility communications, lesson reminders, and internal promotions. We will not sell, rent, or share your mobile information, phone number, or SMS opt-in consent with any third parties, affiliates, or partners for their own marketing or promotional purposes.

5. Children's Privacy (COPPA)

Because Summit serves youth athletes, parents necessarily share information about their children with us to facilitate training. This information is provided, controlled, and consented to exclusively by the adult account holder. Children under the age of 13 are strictly prohibited from registering their own accounts. The data provided regarding minors is used solely to operate our training services and is never sold or used for targeted advertising.

6. Third-Party Vendors & Data Sharing

To operate efficiently, we utilize secure, third-party general business vendors. We share only the absolute minimum data required for these vendors to perform their specific functions. These include: secure identity and authentication providers (to manage safe logins); payment processors (to handle secure checkouts and autopay); and cloud hosting and email delivery services (to maintain the portal and send notifications).

Additionally, our staff and independent coaches have limited access to player names and schedules strictly to execute training sessions. Independent coaches do not have access to your financial or billing information. We may also disclose information if explicitly required to do so by law or legal process.

7. Publicly Visible Information

Your information is only made public based on your explicit actions:

Reviews: If you submit a facility or coach review of 4 stars or higher, it may appear on our public-facing website, displaying only your first name and last initial.

Message Boards: Posts made in the Player Portal are visible only to their intended audience (e.g., a specific team, a private message thread, or all active account holders) and facility administrators.

8. Cookies & Data Security

We use essential cookies strictly to maintain secure sign-in sessions and ensure the portal functions correctly. We do not use cookies for cross-site tracking or third-party advertising. All data transmitted between your browser and our servers is encrypted using HTTPS. Access to our internal databases is strictly limited to authorized facility administrators.

9. Business Transfers

If Summit Sports Performance, LLC is involved in a merger, acquisition, reorganization, sale of assets, or bankruptcy, your personal information may be transferred as a business asset. We will provide notice before your personal information is transferred and becomes subject to a materially different Privacy Policy.

10. Third-Party Links

Our website and Player Portal may contain links to external, third-party websites (e.g., tournament brackets, independent coach scheduling pages, or gear suppliers). We do not control and are not responsible for the privacy practices, content, or security of these external sites. We encourage you to read the privacy policies of any third-party websites you visit.

11. Data Retention & Your Right to Delete

We retain your account data and player information for as long as your account is active or as needed to provide our services.

Right to Delete: You have the right to request the deletion of your personal data at any time. If you wish to close your account and invoke your right to delete, please contact us. We will promptly remove your profile, portal history, and player data from our active systems.

Exceptions: Please note that we are required by law to retain certain transactional, tax, and legal records (such as signed liability waivers and payment history) to maintain compliance with state and federal business regulations.

12. Changes to this Policy

We may update this Privacy Policy from time to time to reflect operational or legal changes. The updated policy will be posted on this page with a revised effective date.
